Hall Booking Policy

By submitting a hall booking request, you acknowledge that you have read and agree to the following policy.

Reservation Process

All event reservations are pending approval and review by our staff. Once your booking request is submitted, a staff member will follow up within 24–48 hours with next steps to obtain payment and confirm your reservation. Your booking is not guaranteed until payment is received and written confirmation is provided.

Timing & Occupancy

Half-Day and Hourly Bookings

  • The hall must be vacated promptly at the scheduled end time to allow adequate time for cleaning and preparation for subsequent events.
  • Late departure may result in additional charges or impact future booking privileges.
  • Setup and breakdown time must be included within your booked hours.

General Occupancy

  • Access to the venue will be provided at your scheduled start time.
  • All guests and equipment must be removed by the contracted end time.
  • Extensions may be available for an additional fee, subject to availability and prior approval.

Venue Condition

Move-Out Requirements

  • The hall must be left in a clean and tidy state.
  • All decorations, equipment, and personal items must be removed.
  • Trash should be bagged and placed in designated areas.
  • Tables and chairs should be returned to their original configuration unless otherwise arranged.

Damage and Cleanliness

  • Any damage to the facility must be reported immediately.
  • Excessive cleaning fees may be applied for venues left in poor condition.
  • A security deposit may be required and will be refunded upon satisfactory inspection.

Payment & Cancellations

  • A non-refundable deposit is required to secure your booking.
  • Full payment is due 14 days prior to your event.
  • Cancellations made less than 30 days before the event may result in forfeiture of deposit.
  • Cancellations made less than 14 days before the event may result in full charges.

Capacity & Safety

  • Maximum occupancy limits must be strictly observed.
  • Fire exits and emergency equipment must remain accessible at all times.
  • The venue reserves the right to end events that exceed capacity or violate safety protocols.

Alcohol

Alcohol service may require special licensing and must be obtained in advance. Please discuss your requirements with our team prior to your event.

Noise & Conduct

  • Music and noise levels must comply with local bylaws and venue guidelines.
  • Events must end by the time specified in municipal noise ordinances.
  • Disruptive behavior may result in immediate event termination without refund.

Insurance & Liability

  • Event organizers may be required to provide proof of liability insurance.
  • The venue is not responsible for lost, stolen, or damaged personal property.
  • Organizers are responsible for the conduct of their guests and any resulting damages.

Setup & Equipment

  • Advance notice is required for any special setup requirements.
  • Additional fees may apply for non-standard room configurations.
  • Use of venue equipment must be approved and may incur additional charges.
  • Outside equipment installations require prior approval.

Weather & Force Majeure

  • Indoor events are not affected by weather conditions.
  • The venue is not liable for events affected by circumstances beyond our control.
  • Alternative arrangements or rescheduling options will be discussed case-by-case.

Contact & Communication

  • A primary contact person must be designated for each event.
  • This person must be present during the entire event duration.
  • All communications regarding changes or issues must go through the designated contact.

This policy is subject to change. Current version supersedes all previous versions. By booking our venue, you acknowledge that you have read, understood, and agree to comply with all terms and conditions outlined in this policy.
